Activating your 2027 timetable sync and mapping your classes

This guide walks you through switching your Edrolo timetable sync over to 2027 and mapping your new classes so students and teachers get the right resources.

You'll need: Admin Hub access, and your 2027 timetable published in your timetable system.


Step 1 β€” Open Timetabling

From your Admin Hub dashboard, click Manage timetabling, or select Timetabling from the menu on the left.

At the top of the Timetabling page you'll see four progress markers: Data connected, Classes identified, Map your classes and Changes visible. These turn green as you work through the process.


Step 2 β€” Check your current status

Before you start, your page will show that timetable data syncing is paused for your 2026 subjects.

We pause syncing at this time of year so that building your 2027 timetable doesn't disrupt your current classes.

 

 


Step 3 β€” Activate the 2027 sync

Once your 2027 timetable data has been synced through your timetable integration, click Activate 2027 sync.

The page will refresh and your Subscription year will change to 2027.

 


Step 4 β€” Find your new classes

Admin Hub will recognise any new classes in your timetable data that match the subjects you're subscribed to in 2027.

You'll see a message telling you how many new classes were found. Click Manage classes.

 

 


Step 5 β€” Map each class to an Edrolo subject

On the Needs review tab you'll see every class that still needs mapping.

For each class, click Set primary Edrolo subject and choose the correct Edrolo subject from the list. You can type in the search box to find it quickly.

 

 

Once a class is mapped it moves off the Needs review tab and appears under All.

Only the subjects you're subscribed to for 2027 will appear in this list. If a subject you expect is missing, get in touch with us.


Step 6 β€” Review and adjust your mapped classes

Switch to the All tab to see all of your classes together, mapped and unmapped.

 

From here you can:

Change the subject a class is mapped to β€” just open the dropdown on that row and pick a different subject.

Lock a class so future timetable updates can't change it. You can still make changes yourself in Admin Hub, and you can unlock the class at any time to resume normal updates.

Remove a class from the subject mapping entirely.

Please read before removing a class. Removing a class deactivates it and students lose access immediately. If you add the class back later and map it to the same subject, access and student progress are restored. If you map it to a different subject, it creates a brand-new class and progress won't carry over.


Step 7 β€” Check you're finished

Once all your 2027 classes are mapped, go back to the Timetabling page.

You'll know you're done when the markers at the top of the page are green and your class mapping shows 100% complete with 0 unmapped.

 


What happens next

Your mapped classes will go live for students and teachers on the access date your school chose when submitting your 2027 subscription. If that date has already passed, your mapped classes go live immediately.

Once your classes are live in Edrolo, the Changes visible marker at the top of the Timetabling page will also turn green.

  • no new classes appear after activating the 2027 sync
  • a subject you're subscribed to isn't showing in the dropdown
  • a class you expect to see is missing from the list
