What is class mapping?
Class mapping links your school’s classes from your SIS or timetable to the right Edrolo subjects and products so the correct teachers and students get access.
When you’ll be asked to do class mapping
Class mapping is triggered in these situations:
- A new integration source is set up for your school
- You switch the setup or academic year
- A sync detects new or changed classes that need review to confirm access to an Edrolo subject
Before you start
- Make sure class names and year levels are final in your SIS or timetable system
- Know which Edrolo subjects/products your school is using this year
Step‑by‑step: Complete class mapping
1) Open Timetabling

Scroll down to Edrolo Subjects->Needs Review
2) Pick a subject to review
- In the Edrolo subjects list, you switch to Needs Review to focus on those requiring attention
- Open a subject to see:
- Currently mapped classes
- Suggested matches
- Unconfirmed classes
3) Review suggestions and class details
For each class row you can:
- Confirm — approve the mapping and grant access
- Remove — remove subject access for that class
4) Add missing classes
If a class isn’t listed:
- Click Add Class
- Search by class name or filter by year level
- Select one or more classes and click Add Selected Classes
Note: Manually added classes will appear as Confirmed
5) Confirm mappings
Confirming a class mapping grants students and teachers access to the Edrolo product.
- From the list: select one or more Unconfirmed rows and choose Confirm
- When all items are confirmed, and you are satisfied that all classes that require access to the subject are present you can navigate back and go to the next subject or exit.
Tip: Sort by Status to see Unconfirmed items first. Use Search to quickly find a specific class code.
6) Finish up and return later
You can update mappings at any time.
Here are several scenarios where a you might need to return to update class mappings or respond to new suggested classes:
- Schedule changes mid-term or mid-year: When timetable adjustments happen after initial setup.
- New courses added: When the school purchases additional Edrolo products mid-year, new mappings would need to be created.
- Class code modifications: If the school changes how they name or code classes in their SIS system. Our system may automatically recognise them, however if it can’t it will ask for confirmation.
- Multi-subject adjustments: When a class needs access to additional Edrolo subjects that weren't initially mapped
- Error correction: To fix mapping mistakes where students received access to incorrect materials.
- System integration updates: When a new integration or data source is set up for the school. Especially if the data received is significantly different, the mappings may need to be checked.
- Academic year transition: During setup for a new academic year when new classes need mapping.
Changes take effect on the next sync. You will see updates within minutes.
What happens after confirmation
- Teachers gain access to the mapped Edrolo product immediately. Students will gain access once the nominated roll-out date has passed.
- The class will appear in the relevant dashboard or navigation, depending on whether the related academic year is current.
- Enrolments and assignments sync to the selected subject.
Troubleshooting
- Can’t find the right product
- If the subject isn’t available for your school, contact Edrolo help
- Wrong students or teacher in a class
- Update the roster in your SIS or timetable
- Wait for the next sync, then re-check the mapping
- Alternatively, contact Edrolo support for investigation
- Duplicate classes
- Un-map (remove) the extra class
- Confirm only the correct class
- Multi‑subject classes
- Add a separate product mapping for each Edrolo subject used
FAQs
- Do I need to remap every term?
- No. Only remap if classes, teachers, or products change. Otherwise, mappings carry over.
- Who can confirm mappings?
- School admins with access to Admin Hub.
- Can a class map to more than one product?
- Yes. Add an additional mapping for each product used by the class.
