How do I set up my school's Edrolo classes for the new academic year (CSV upload)?
After your school renews its subscription for the new academic year, Edrolo will get in touch with your school's timetable coordinator to complete this setup. The steps below walk through what happens on your end in the Admin Hub.
You set up your school's classes in Edrolo by uploading a CSV file exported from your timetabling software, then working through three quick review steps: identifying your classes, mapping them to Edrolo subjects, and checking access before the changes go live.
Tip: refer to the following Help Centre articles for more detailed steps:
Step 1: Upload your timetable data file
- Log in to the Edrolo Admin Hub and select Timetabling from the left-hand menu.
- Check the Subscription Year shown under Configuration. This should match the academic year you're setting up (for example, "2027 Academic cycle"). If it doesn't look right, contact us before continuing.
- Click Upload CSV and add your timetable data to match the academic year you are setting up for
- If using the Edrolo CSV template and the upload passes validation, move on to Step 2.
Note: If you are using exported files from TES, Timetabling Solutions or Griddle, once you click Upload file, our team reviews and processes your data before it appears in Edrolo — this isn't instant. You don't need to do anything else at this stage; we'll let you know once it's ready for the next step.
Step 2: Add and identify your classes
Once your file has been processed, the system may automatically identify the classes from your data. You'll see this reflected on the Timetabling page, in Needs Review. These are ready for Step 3. Mapping. If any class codes are missing:
- Click Add class to all class codes that require access to any Edrolo course material
- The class codes now appear in Needs Review
Step 3: Map your subjects
Mapping provides each of your school's classes to the matching Edrolo subject, so students and teachers in that class get the right curriculum resources.
- On the Timetabling page, look for a banner telling you how many new classes need mapping
- For each unmapped class, choose the Edrolo subject it should link to, then save your changes.
- If an Edrolo subject is missing from the drop down, your school is not subscribed to it. Additional subjects can be added to your schools subscription. See this article for more information.
✅ You'll know mapping is complete when the Unmapped count on the summary cards reaches 0 and Mapped shows 100%.
Step 4: Check your classes and user access
The last step is confirming everything looks right before the changes go live for your students and teachers. It can take 3-5 mins after mapping for the classes to show on the classes page.
- Double-check your student enrolments total matches what you'd expect for your school on the classes page.
- Ask a teacher or student to confirm they can see their correct class and subjects once changes are visible.
Note: Classes left unmapped won't have access to Edrolo content, so it's worth confirming the Unmapped count is 0 before telling staff and students the new timetable is ready.
