How do I renew my school's Edrolo subscription?

You can renew your school's Edrolo subscription from the Subscription page in your Admin Hub by working through a short 4-step form. It usually takes about 10 minutes if you have your billing and coordinator details handy.

Tip: Before you start, have your billing coordinator, Edrolo coordinator, and timetable coordinator details ready (name, email, and phone number). You'll be asked to confirm or update these along the way.

Where to find your subscription renewal

  1. Log in to your school's Admin Hub.
  2. In the left-hand menu, click Subscription (it's near the bottom, just below Contacts).
  3. On the Subscription page, you'll see your current plan: its status, how many subjects you're subscribed to, and when it's due for renewal.
  4. When you're ready, click Renew subscriptions.

Step 1: Payment setup and access date

  1. Choose how you'd like payment collected:
    • Direct to school: Edrolo invoices your school directly.
    • Booklist: your school's booklist collects payment from families.
    • Payment Portal: Edrolo collects payment from students on your school's behalf, at a price you set.
    • EdBuy: only available if your school is a New South Wales (NSW) Government school.
  2. In the Edrolo access field, choose the earliest date your teachers or students will need access to their subjects next year. This date is required, you won't be able to continue without it.
  3. Scroll down to Account contacts and check that your billing address, billing coordinator, Edrolo coordinator, and timetable coordinator are correct. You'll need to add a timetable coordinator or technical contact if you don't have one listed yet.
  4. Click Next to continue.

Step 2: Confirm your subjects

  1. Review the list of subjects carried over from your current subscription.
  2. For each subject, you can update the Tier or the estimated number of enrolments for next year.
  3. Check the subtotal at the bottom of the table, this reflects your current selections.
  4. Click Next when you're happy with your subject list.

Step 3: Review and submit

  1. Check the Subscription renewal agreement, this lists every subject, tier, and price per seat in your renewal.
  2. The total invoice amount shown is an estimate, not your final bill.

⚠️ Note: Your actual invoice is calculated in March based on your real student numbers at that point, plus any additional students, minus any shortfall against your estimate, and minus anything already collected through the Payment Portal.

  1. Answer whether you're the authorised signee for your school.
    • If yes, you'll be able to proceed straight to signing.
    • If no, enter your nominated signee's first name, last name, and email address. Edrolo will send them a contract to sign electronically.
  2. Click Submit.

If you need to finish later

  1. You don't have to complete the renewal in one go. Click Save for later at any point on Steps 1 or 2, and your progress will be kept.
  2. Come back to the Subscription page whenever you're ready, and pick up where you left off.

After you submit

  1. Once you submit, your renewal moves to Awaiting signature.
  2. Your nominated signee (or you, if you confirmed you're the authorised signee) will receive an email to complete the contract.
  3. Your subscription is finalised once the contract has been signed.
