How do I renew my school's Edrolo subscription?

You can renew your school's Edrolo subscription yourself, right from Admin Hub. It only takes a few minutes, and you'll see your full quote before you commit to anything.

Hot Tip: At any point throughout the process, you can click ‘Save for later’. This allows you to return when you’re ready. 

Where to find it

  1. Log in to Admin Hub.
  2. Click Subscription in the left-hand menu. Here you'll see everything you're currently subscribed to, including the tier and total enrolments for each subject.
  3. When you're ready, click Renew subscriptions to start.

⚠️ Note: Renew subscriptions will help you select subjects and obtain a quote. Next year's subscription will only be confirmed once signed. 

Step 1: Choose how you'll pay

  1. Pick the payment option that suits your school:
    • Direct to school: Edrolo invoices your school directly. 
    • Booklist: Your booklister collects payment from families. Edrolo will issue the invoice to the school after our March 17, 2027 census date.
    • Payment portal: Edrolo collects payment from students on your school's behalf, at the price your school sets. 
    • EdBuy: Only available if you're a NSW Government school.
  1. Enter the earliest date your teachers or students will need access to their subjects.
  2. Check your billing coordinator, Edrolo coordinator, and timetable coordinator details, and add a technical contact if you have one. Click Edit next to any contact to update their details.

⚠️ Note: Keep your contacts up to date. Edrolo uses these details to set up access and support throughout the year. 

  1. Click Next to continue, or Save for later if you need to come back to this.

Step 2: Confirm your subjects and student numbers

  1. You'll see the subjects your school subscribed to this year, along with the tier and estimated enrolments for each.
  2. Update the estimated enrolments for any subject where your class sizes have changed. This gives you the most accurate quote.

  1. To remove a subject you no longer need, click the bin icon next to it.
  2. To add a new subject, click Add subject, search for it by name, then add it to your renewal.

  1. Click Next once you're happy with your subject list.

Step 3: Review and sign

  1. Check the full list of subjects, tiers, and prices, along with your estimated total invoice amount.
  2. This total is an estimate. Edrolo bill based on actual enrolment numbers from the timetable data you provide us.
  1. Tell us whether you're the authorised signee for your school:
    • If you are, you can sign straight away.
    • If you're not, enter the name and email of the person who needs to sign. We'll send them a contract to sign on your school's behalf.

  1. Click Submit to send your renewal through, or Save for later if you're not quite ready.

What happens after you submit

The signee gets an email titled "Action required: approve your Edrolo agreement", with the order number, an estimated total, and the full order attached as a PDF.

  1. Open the email and click Review and approve.
  2. Confirm you're the right person, then approve the order.

Tip: The person nominated to sign does not need an Edrolo account to approve the renewal

⚠️ Note: Approving confirms your school's commitment under Edrolo's Standard Subscription Terms and Conditions. Nothing is billed and no access changes happen until you approve. If you weren't expecting this email, reply to it before approving.

If you need to stop partway through

You don't have to finish your renewal in one go.

  1. Click Save for later at any step.
  2. Come back to Subscription > Renew subscriptions whenever you're ready. You'll pick up right where you left off.

Need to make changes after you've submitted?

If you've already submitted your renewal but need to fix something, you can still edit it, as long as it hasn't been signed yet.

  1. Go to Subscription in the left-hand menu.
  2. Click Renew subscriptions.
  3. On the Awaiting signature screen, click I made a mistake, edit order.

  1. This reopens your renewal so you can make your changes and resubmit it.

⚠️ Note: This only works before your renewal has been signed.
