Adding and removing students
This guide shows school administrators how to add a new student to your Edrolo account, and how to remove a student who has left.
You'll need admin access to your school's Edrolo Admin Hub.
Before you start — if your school uses a timetabling system Any change you make here also needs to be made in your timetabling system. If it isn't, the next timetable sync will overwrite it — a student you added may lose their classes, or a student you removed may reappear.
Adding a new student
What you'll need
- The student's first name, last name and email address
- Their year level
- At least one class to enrol them in
- (Optional) your school's Student ID for them
Steps
1. From your Admin Hub dashboard, click Add a new user.
You can also click Users in the left-hand menu.
2. Switch to the Students tab.
At the top of the Users page there's a Staff / Students toggle. Select Students.
3. Click + Add student.
4. Enter the student's details.

5. Choose their class.
Start typing in Search classes… and select the class from the list.
You need to enrol the student in at least one class when you create their account. You can add them to more classes later.
6. Click Add student.
The student's account is created and an invitation email is sent to the address you entered. They'll need to open that email and activate their account before they can log in.
The Add student button is greyed out? It stays inactive until every required field is filled in. Check that you've entered a first name, last name and email address, chosen a year level, and selected at least one class.
Removing a student
Removing a student deactivates their Edrolo account. They'll no longer be able to access your school's Edrolo classes.
1. Go to Users and select the Students tab.
2. Search for the student.
Type their name or email address into the Search box at the top of the list.
3. Click the three dots (⋮) in their row, under Actions, then choose Remove student.
4. Confirm the removal.
A confirmation message appears explaining that this will remove the student's access to your Edrolo classes. Click Remove to confirm, or Cancel to go back.
5. Done.
The student disappears from the list and a message confirms they've been removed. Their Edrolo account is deactivated.
Important: keep your timetabling system up to date
If your school syncs classes and enrolments from a timetabling system, the changes you make in the Admin Hub are not sent back to that system.
Make the same change in your timetabling system as well. Otherwise, the next time your timetable syncs, it will overwrite what you've done here:
- A student you added manually may lose their class enrolments
- A student you removed may be recreated
