What is Timetabling in Admin Hub?
This section allows you to view and manage how your Timetabling data syncs with Edrolo
How it works
- Connect a data source: Link your school timetabling system (Compass, LISS, or Wonde) or upload CSV files with your class and enrolment data
- Automatic syncing: Your timetable data syncs regularly, bringing in classes, student enrolments, and teacher assignments
- Map classes to subjects: Review and confirm which school classes should map to each Edrolo subject (e.g., "11BIO_A" maps to "VCE Biology Units 1&2")
- Automatic access: Once mapped and confirmed, students and teachers automatically gain access to the corresponding Edrolo content

Review your current timetable configuration
Use Admin Hub → Timetabling to see your current connection and settings.
What you'll see
- Data source: Shows which integration is active (Compass, LISS, Wonde, or CSV upload)
- Last sync: Date and time of the most recent sync
- Active subscription year: Which academic year incoming data is being matched to (e.g., 2025 or 2026)

Edrolo subjects: A list of all subscribed subjects. Click through to view and manage classes mapped to each. You'll see:
- Needs review: Classes that require confirmation before students can access them

All: All school classes
What you'll see if you do not have an active timetable sync connected
Your school may not have an active sync and use CSVs as a manual alternative when integrations aren't available, when using timetabling systems that require CSV exports (like Timetable Solutions, Griddle, or SchoolEdge, or for ad-hoc updates).
When no timetable integration is connected, the Timetabling page will show:
Configuration section:
- Data source: "You have no connected integrations"
- Two action buttons:
- View available integrations – Opens the Integrations page where you can connect Compass, LISS, or Wonde
- Upload CSV – Allows you to manually upload timetable data via CSV file.
How to: Connect or change your timetable integration
Timetable integrations are set up in Admin Hub → Integrations, not in the Timetabling section. Once connected, your active integration will be shown in the Timetabling section, detailed set up please refer to-->Managing Integrations in Admin Hub
👉Important: Only one data source is active at a time. Connecting a new integration replaces your current source.
Option A: Connect Compass
- Go to Admin Hub → Integrations
- Find Compass in the available integrations list
- Click Connect
- Follow the Compass authorisation flow and grant access
- Choose which academic year this data should sync to
- Confirm to make Compass your active source
- Return to Admin Hub → Timetabling to complete class mapping
Tip: If you're switching from another integration, the system will automatically disconnect the previous source when you activate Compass.
Option B: Connect LISS or Wonde
- Go to Admin Hub → Integrations
- Find LISS or Wonde in the available integrations list
- Click Request
- Complete the request form

How to: Prepare for the next academic year (Aka - Rollover or Setup period)
From early November each year, Edrolo helps schools transition smoothly to the next year's subscription.
💡 Good to know: Your current year's classes remain active and accessible until your subscription ends. There's no disruption to student learning during the rollover process.
Step 1: Understand the automatic pause
Starting November 1, timetable syncing automatically pauses.
In Admin Hub → Timetabling, you'll see:
- Data source shows Paused status
- Current year remains active (e.g., "Active subscription year: 2025")
- Activate [Next Year] sync button (e.g., "Activate 2026 sync")
Why it pauses: This gives you control over when to begin the new year setup and lets you align it with when your timetabling/SIS system is ready.
Step 2: Activate the next year when ready
- Go to Admin Hub → Timetabling
- Review your Configuration:
- Confirm your data source is correct
- If you need to change it, do so in Admin Hub → Integrations first
- Click Activate [Next Year] sync (e.g., "Activate 2026 sync")
- Confirm when prompted
What happens:
- Active subscription year switches to the next year (2025 → 2026)
- Status changes from Paused to Active
- A fresh sync starts from your timetabling system
- You'll see a blue banner: "Timetable data is syncing to your [year] subjects"
Step 3: Wait for the sync to complete
The initial sync time varies depending on your data source and the amount of data.
You'll receive an email when the sync is complete and ready for review. You can close the page and come back later.
When the sync finishes:
- Blue syncing banner disappears
- Edrolo subjects section shows your new year's subjects
- Subjects with new classes show a Needs review badge
- Action required banner appears if class mappings need review
Step 4: Review and confirm class mappings
- Click Review classes for each subject with a Needs review badge
- Confirm which classes should have access to each Edrolo subject
- Repeat for all subjects
How to: Review and confirm class mappings
After your first sync, the system suggests which school classes should map to each Edrolo subject. You'll need to review and confirm these mappings before students can access the content.
Why is this needed?
Class mapping ensures that students and teachers in your school's timetabled classes receive access to the correct Edrolo subjects and products.
Your school's timetable data contains class codes and subject names that may not directly match Edrolo's subject and product names. The mapping process connects them, so when a student is enrolled in "11BIO_A" in your system, they automatically gain access to "VCE Biology Units 1&2" in Edrolo.
This step reduces the need for manual account setup and ensures your school gets access to the right content without delays.
How to review mappings
- Go to Admin Hub → Timetabling
- Find subjects with the Needs review badge
- Click Review classes for that subject
- You'll see two sections:
- Unconfirmed classes: Classes detected from your timetable that may belong to this subject
- Confirmed classes: Classes you've already confirmed for this subject
Confirm classes
For each unconfirmed class:
- Review the class code, year level, and subject name
- If it should have access to this Edrolo subject, click Confirm class
- If it shouldn't have access, click Remove
The class moves to the confirmed section and students in that class will gain access to the Edrolo subject.
Add classes manually
If a class doesn't appear in the unconfirmed list:
- Click Add class on the subject mapping screen
- Search for the class by class code, year level, or subject name
- Select the class(es) from the list
- Click Add selected classes
- Confirm the newly added classes
👉Important: You may need to return to class mapping if new timetabled classes are added to your system throughout the year. The system will prompt you to review them.
Timeline and tips
- You're in control: Activate the rollover any time after November 1 when you're ready
- No rush: Current year classes stay active until your subscription ends
- Partial timetables are OK: If you only have some classes ready in your timetabling system, you can still activate the rollover. New classes will sync automatically as they're added, and you can review them later
Troubleshooting
No classes detected after sync
- Confirm you the correct academic year in your configuration
- Check that classes are published for that year in your timetabling system
- Allow time for the initial sync to complete (this can take a few minutes)
Classes appear in the wrong subject
- Remove the class from the incorrect subject (Using Remove)
- Add it to the correct subject using Add class
- If the issue persists, check your timetabling system's subject codes and naming. You can also contact Edrolo support for assistance.
Need to update class details
- The best way is to make changes in your timetabling system first
- The next sync will bring through the updates
- For urgent changes, you can use the Class Editor in Admin Hub → Classes

Can we change integration sources?
Yes. Go to Admin Hub → Integrations and connect a new source. This will disconnect your previous integration.

Will students see new classes immediately?
If the rollout date hasn't arrived yet, students won't see their classes until that date.
Students will see their classes after you confirm the mapping only if the academic year's rollout date has passed.

What happens to the current year when we switch to next year?
Current year classes remain in place and accessible until your subscription ends.
You can use Class Management (Admin Hub → Classes) to make changes to classes or upload a CSV file for bulk changes.

Can we use multiple data sources at once?
No. Only one data source can be active at a time to ensure data consistency.

What happens if I rollover academic year but only have some of the classes ready in the timetable?
You can still roll over to the next academic year and confirm the classes that are ready. The system will sync any new classes as they're added to your timetabling system throughout the year. You'll see a prompt in Admin Hub → Timetabling to review new unconfirmed classes as they appear, and you can confirm them at any time.
Data and privacy
Edrolo only processes the data needed for class setup and enrolments. Your timetabling data is used solely to provide access to the correct subjects.
